This policy explains how HPF Ltd, trading as Composed Presence (“we”, “us”), uses the personal information you give us through https://composed-presence.co.uk, by email, or when you take part in a free intro call or profile review.

Who we are

HPF Ltd is the data controller for your personal information.

  • Trading name: Composed Presence
  • Registered in England and Wales, company number 15839583
  • Registered office: 166 King Cross Road, Halifax, HX1 3LN
  • Privacy questions: hello@composed-presence.co.uk

ICO registration number: to be confirmed by the owner if a data protection fee registration applies.

What we collect

  • Enquiry form: your name, email address, phone number (optional), nearest city, and whatever you write in “What would you like to work on?”.
  • Emails to us: your email address and anything you include.
  • Free profile review: the screenshots you send of your dating profile, and your email.
  • Intro calls and coaching (if you go ahead): notes about your goals and progress, contact details, and payment records.

Please share only what you're comfortable with. You don't need to tell us about your health. If you choose to (for example, anxiety), we'll use it only to respond to you and plan your coaching, with your explicit consent, and you can ask us to delete it at any time. When you send profile screenshots, please crop out anything you'd rather we didn't see, such as other people, your surname, your workplace or your location.

How we use it

  • to read and reply to your message
  • to arrange your free 5-minute intro call
  • to write and send your free profile review
  • to provide coaching if you become a client, and to take payment
  • to keep a record of our correspondence

We do not sell your information, share it for marketing, or add you to a mailing list unless you separately ask us to. We never log in to your dating accounts.

Our lawful bases (UK GDPR)

  • Steps at your request before a contract, and performing a contract (Article 6(1)(b)): replying to you, arranging your call, doing your profile review, and coaching you.
  • Legitimate interests (Article 6(1)(f)): keeping reasonable records so we can follow up and deal with questions or complaints.
  • Legal obligation (Article 6(1)(c)): keeping financial records.
  • Explicit consent (Article 9(2)(a)): for any health information you choose to share.

Who we share it with

Only with service providers who help us run the business, acting on our instructions:

  • Netlify, Inc. (website hosting and form handling)
  • Email and video tools used to reply to you and run sessions (as configured by us)
  • A payment provider, if you become a client

We may also share information where the law requires it.

International transfers

Some of these providers may process data outside the UK, for example in the United States. Where they do, we rely on the safeguards those providers offer under UK data protection law (such as the UK International Data Transfer Addendum or the UK–US Data Bridge, as applicable).

How long we keep it

  • Profile review screenshots: permanently deleted within 7 days of sending your review.
  • Enquiries and emails (if you don't become a client): kept for 12 months, then deleted.
  • Client records: kept for as long as you're a client and for a further period needed for accounting and legal purposes (typically up to 6 years).

Your rights

You have the right to access, correct or delete your information, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent at any time where we rely on it. Email hello@composed-presence.co.uk and we'll respond within one month.

Cookies

We do not use analytics or advertising cookies. The site is hosted on Netlify, which may set essential technical cookies or run essential scripts needed for hosting, security and form delivery. If we ever add analytics or advertising tags, we will update this section and, where required, show a cookie notice.

Complaints

If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.
